1. Define the exact job
Avoid beginning with brand names. Write down what goes in, what should come out and what counts as a correct result. “Summarize a 20-page PDF and quote pages” is more testable than “I need the best AI.”
2. Decide what you cannot compromise
List your must-haves: file type support, languages, team access, confidentiality, integrations and cost ceiling. For workplace data, obtain approval before uploading files to third-party providers.
3. Test two or three real examples
Use the same tasks across shortlisted products. Review accuracy, ability to edit the output, effort to correct mistakes and the resulting time saved. Keep a small scorecard, even if it is simply pass / partial / fail.
4. Look beyond the advertised price
Check monthly subscriptions, usage limits, generation credits, API charges, storage, renewals and cancellation terms. A “free” plan may have tight limits or be unsuitable for commercial use.
5. Inspect trust and control
Look at the provider’s privacy policy, retention terms, export options, account security and support channels. For agents and automation, check exactly which actions they can perform.
6. Reassess regularly
Products and features change rapidly. Document what you tested, when you tested it and why you selected it. CHAAAM lists capabilities to help you create a shortlist but does not claim to have independently benchmarked every listing.
